General event conditions
1. General
The following information applies to all events held by DIN e.V., Burggrafenstr. 6, 10787 Berlin (where applicable, with cooperation partners), regardless of whether they are held in person, virtually or hybrid.
1.1 Privacy policy
We take the protection of your personal data very seriously and handle your personal data confidentially and in accordance with the statutory data protection regulations and this privacy policy. 1.2 Information on follow-up emails
If it is a free live event, the legal basis is Art. 6 para. 1 pt. f) of the GDPR, provided that no contractual relationship has arisen via participation in the event. Our legitimate interest here is to hold an event. In this case, we process the following personal data: Name, email address, company/institution, IP address. After the event, the data may be used to send presentations shown at the event and/or summaries of the results achieved at the event with any additional information on the event topic, as well as voluntary feedback surveys.
1.3 Compliance
We request that you ensure that your participation is in accordance with any internal compliance requirements of your employer/superiors that may apply to you. DIN e. V. will carry out a flat-rate taxation pursuant to Section 37 b EStG for this event, where applicable.
1.4 Data sharing
For the purposes of holding events, the cooperation partners of an event receive knowledge of the data of the participants.
1.5 Livestreaming, recording and publishing of events
Please note that we will optionally broadcast and record live the images and sound of the event (virtually, hybrid or in person). The fact that a recording is taking place is also displayed to you in the relevant application, such as WebEx, Teams or Zoom. For hybrid events and events held in person, you will be informed in advance about the recording.
In the case of a virtual event, you are muted as a participating person and do not appear in the recording.
If you appear in this case via audio, video or chat function, we will not mention your name and will cut or pixelate these passages in the recording.
The recording will be made available online to a closed circle of users (internally as well as via DIN.de and DIN.ONE), via social media (YouTube, Twitter, LinkedIn, XING, etc.) and our website DIN.de for a maximum period of two years. After that the recording will be deleted.
With your registration, you acknowledge that DIN e.V. will use the recording of the event (virtual, hybrid or in person) free of charge in the context of public relations work via the above-mentioned media without time and content restrictions.
2. Supplementary notes on events held in person
If the event is held in person, the current hygiene concept of DIN e.V. applies.
3. Supplementary notes on virtual events
If the event is a virtual event, the following tools may be used.
3.1 Web conferencing systems
We offer events on our website. To conduct these events, we need appropriate technology. We use Cisco WebEx, Microsoft Teams and Zoom as the providers of video conferences, IP telephony, instant messaging, file transfer and screen sharing. For paid events, the legal basis for the processing of data is Art. 6 (1) lit. b) GDPR. We provide our contractual services with these providers, particularly for the events. In addition to holding events, this includes following up on attendance data for invoicing purposes. In this case, we process the following personal data: Name, email address, company/institution, IP address, payment information. If it is a free event, the legal basis is Art. 6 para. 1 pt. f) of the GDPR, provided that no contractual relationship has arisen via participation in the event. Our legitimate interest is the effective holding of events. In this case, we process the following personal data: Name, email address, company/institution, IP address.
We have concluded the necessary order processing agreements with the providers of these services.

3.2 Survey, chat and networking tools

4. Supplementary notes on hybrid events
If the event is a hybrid event, all information in sections 1.5, 2 and 3 are relevant.
5. Supplementary information on the Presidial Board meeting and the General Assembly
